Job Summary:

The Administrative Manager plays a key role in supporting the relocation and onboarding of employees moving to the U.S. from global locations. This position involves coordinating logistics, providing guidance on immigration processes, and ensuring a smooth transition for new employees. The administrator works closely with HR, legal, and external vendors to facilitate visas, housing, transportation, and other relocation needs. Strong organizational, communication, and problem-solving skills are essential, as well as a high level of cultural sensitivity.

Fluency in English and Hindi/Urdu required.

Responsibilities:

  • Create and implement processes for mobilization coordination
  • Coordinate immigration paperwork, including visa applications and renewals, in partnership with legal team
  • Arrange temporary housing, transportation, and other logistics for relocating employees and their families
  • Provide guidance on U.S. work culture, benefits, and company policies to new employees
  • Assist with setting up bank accounts, utilities, and other essential services
  • Serve as the main point of contact for international employees during the relocation process
  • HR Management of salary disbursement, benefits, insurance, billing and client invoicing
  • Collaborate with external vendors, including relocation services and real estate agents
  • Maintain accurate records of relocation expenses and assist with reimbursements
  • Organize orientation programs and support integration into the local community

 Qualifications:

  • Proven experience in office administration, HR, or employee relocation services
  • Associate’s degree in business administration, or related or equivalent experience
  • Excellent organizational and multitasking abilities
  • Strong interpersonal and cross-cultural communication skills
  • Proficiency in office software (e.g., MS Office, spreadsheets, databases)
  • Experience in ADP is a plus
